Billing Assistant

Position Overview:

We are looking for a detail-oriented and dependable Billing Assistant to support our operations team with the day-to-day billing functions of an estate planning law firm. This is a fully remote, part-time position.

In this role, you will work behind the scenes to keep our billing process accurate and moving smoothly. You will not have direct client calls, but you will work closely with our Director of Operations and internal team to ensure invoices are generated correctly, payments are recorded, and outstanding balances are tracked and followed up on. The ideal candidate is highly organized, proficient in QuickBooks, comfortable handling sensitive financial information with discretion, and thrives working independently in a structured, process-driven environment.

  • Generate and send client invoices accurately and on schedule using QuickBooks.
  • Record and reconcile incoming payments
  • Track outstanding balances and send professional follow-up communications for unpaid invoices.
  • Maintain organized and accurate billing records in QuickBooks and our practice management system.
  • Assist with month-end reconciliation and prepare basic financial summaries as directed.
  • Flag billing discrepancies, missing information, or inconsistencies to the Operations Director promptly.
  • Support the team with administrative tasks related to billing and accounts receivable as needed.
  • Draft and send billing-related emails on behalf of the Operations Director when requested.
  • High school diploma or equivalent required; associate’s degree or higher preferred.
  • 2+ years of experience in a billing, bookkeeping, accounts receivable, or similar support role.
  • Proficiency with QuickBooks (Online or Desktop) is required — please indicate your version experience in your application.
  • Experience in a law firm, legal billing, or trust accounting environment is a strong plus.
  • Strong written English communication skills, including professional email drafting.
  • Highly organized with strong attention to detail and consistent follow-through.
  • Comfortable working independently and managing tasks without day-to-day supervision.
  • Reliable high-speed internet connection and a professional, distraction-free remote workspace.
  • Absolute discretion with confidential client financial information.
  • You are independently generating invoices, recording payments, and tracking outstanding balances with minimal direction.
  • Billing records in QuickBooks and our practice management system are accurate, up to date, and easy for the team to navigate.
  • The Director of Operation’s workload has measurably lightened because she can trust you to own the billing follow-up process.
  • Month-end reconciliation support is delivered on time and with a high degree of accuracy.
  • You communicate proactively when issues arise — nothing falls through the cracks on your watch.
  • You are a dependable, trusted member of our remote team who takes ownership and asks good questions.
